
A match meeting is for organisations that do not have the time to build relationships by chance, or cannot access certain markets or circles on their own, yet want to speak quickly and efficiently with decision-makers, buyers, suppliers, partners, investors or other industry stakeholders. We build the participant pool in advance, define clear objectives and a meeting script, then organise short, focussed back-to-back 1:1 meetings in fixed time slots, with the aim that every conversation reaches a logical next step that the parties can then progress independently (request for proposal, demo, audit, pilot, media contact, cooperation, and so on). In international practice, matchmaking is built on a structured, pre-agreed meeting schedule, and on the logic that participants request and receive time slots based on each other’s profiles and goals. We apply this approach to the Hungarian market, tailored to the chosen target audience and the realities of the industry in question. At the outset we clarify who needs to be at the table, what constitutes a genuine “match”, and what messaging and content elements are needed to move the conversation beyond polite small talk. We design the invitation and screening process, manage registration, build the time slots and meeting agenda, brief the host, and make sure post-event follow-up is handled with the same discipline (summaries, recommended next steps, introductions and ongoing tracking).
A match meeting can be a standalone event, or part of a conference, exhibition or roadshow. It works best in person, but it can remain effective in a hybrid format as well, typically when there is significant geographic distance and fewer participants.
Business participants typically speak English, but if they do not, that is not an issue. We always assess language needs in advance, and we can arrange interpreters, even at every table if required.
Most recently, in 2025, at the Budapest stop of the Shanghai Fair exhibition series (a global travelling industrial showcase of Shanghai and its industrial district) at HUNGEXPO, we were responsible for recruiting for, organising and delivering results for the match meeting room, and we have also organised many similar events in the past, either as a standalone programme or as part of a larger event.
